What actually moves
Mailboxes are the visible part, but they are rarely the hard part. Calendars with years of recurring meetings, shared mailboxes nobody owns, distribution lists that route to people who left, public folders, and the file shares everyone insists are essential: these are what determine whether a migration goes quietly. We inventory all of it first. That inventory routinely finds mailboxes belonging to people who left in 2019, shared drives nobody has opened in three years, and two competing sets of the same documents. Deciding what not to migrate is as valuable as migrating the rest.
How we run it
Mail migrates in batches with coexistence, so both systems deliver during the transition and nothing bounces. Users keep working while their history copies across in the background. The cut-over for any individual is a short window, not a day off. Files move to SharePoint and OneDrive with permissions mapped rather than flattened, because a migration that dumps everything into one library with open access creates a security problem that outlives the project. Identities go into Entra ID, with MFA enabled from day one rather than added later once someone has been compromised.
The part most migrations skip
The technical move is a week or two. What determines whether people are productive afterwards is everything around it: knowing where files now live, how to share externally without emailing attachments, what Teams is for versus email, and who to ask. We brief users before cut-over, stay available during the first week when the questions actually arrive, and leave you with documentation of how the tenant is configured. That last point matters more than it sounds: most companies cannot say why their own tenant is set up the way it is.

Will email go down during the migration?
No. We run coexistence so both systems deliver mail during the transition. Individual users have a short cut-over window, usually measured in minutes, and mail sent during it is delivered rather than bounced.
We are on Google Workspace. Does everything come across?
Mail, calendars, contacts and Drive files, yes. Some things have no exact equivalent, for example certain Google Sites or Apps Script automations. We identify those in the inventory phase so there are no surprises late on.
How long does it take?
For most small and mid-sized companies, two to four weeks from inventory to completion, with the mail cut-over over a weekend. Large mailbox volumes extend the background copy, not the disruption.
