Essentials, Premium and Team Members
Business Central has three user types and the difference matters financially. Essentials covers finance, sales, purchasing, inventory, projects and warehousing, which is everything most companies need. Premium adds service management and manufacturing, and is only worth its higher price if you genuinely use those modules. Team Members is the one most often missed. It is a fraction of the cost of a full user and covers reading data, approving, updating your own time sheets and basic record entry. A large share of the people companies license as full users only ever do those things.
How we size it
We look at what each role actually does in the system, not at job titles. A warehouse supervisor who posts receipts needs a full licence. A department head who approves purchase orders and looks at reports does not, and licensing them as a full user is a recurring cost for nothing. This review typically finds between ten and thirty percent of full seats that should be Team Members, plus licences still assigned to people who have left. On a fifty-user system that difference is substantial and it repeats every year.
Beyond Business Central
The Dynamics 365 range also covers Sales, Customer Service, Field Service and Human Resources. Where these genuinely fit, licensing them alongside Business Central attracts attach pricing that is considerably cheaper than buying them standalone. We will also say when they do not fit. A company with straightforward requirements often gets more from a well-configured Business Central plus a Power App than from adding a second Dynamics product that duplicates data and needs its own integration.

Do we need Premium or is Essentials enough?
Essentials covers finance, sales, purchasing, inventory, projects and warehousing. You need Premium only for service management or manufacturing. Many companies pay for Premium without using either, which is one of the first things we check.
What can a Team Member licence actually do?
Read anything they have permission to see, approve records in workflows, update their own time sheets and make basic entries. It cannot post transactions or use the full application. For approvers and report consumers, which is a large group in most companies, it is entirely sufficient.
Can we change licence types mid-term?
Yes. Seats can be added at any time, and the mix can be adjusted at renewal. We review utilisation before each renewal rather than letting it roll over untouched, which is how over-licensing quietly compounds.
