The line that catches everyone
Power Apps and Power Automate are partly included in Microsoft 365, but only for standard connectors. The moment an app or flow touches a premium connector, which includes direct connections to Business Central, SQL Server, Dataverse and most third-party systems, it requires additional licensing per app or per user. This is discovered at the worst moment: after development, when the app is ready to roll out. We establish which side of that line each app falls on during design, so the cost is a decision rather than a surprise.
Per app or per user
Per-app licensing covers one user running one application and suits a specific tool used by a defined group, such as a warehouse stock-count app. Per-user licensing covers unlimited apps for one person and becomes cheaper once someone uses two or three. The crossover depends on how many apps you expect to build. Companies that start with one app almost always build more, so we model both and show you where the line falls rather than optimising for today and re-buying next year.
Power BI licensing
Power BI Pro per user is the usual starting point and is included in Microsoft 365 E5. Where you have a small number of report authors and a large number of viewers, a Fabric capacity can be cheaper than buying Pro for everyone who only ever looks. Premium Per User sits between the two. We model the actual cost against your author-to-viewer ratio, which is the number that decides it, rather than recommending a tier and hoping.

Is Power Apps not already included in Microsoft 365?
Partly. Standard connectors are included, which covers apps built on SharePoint lists and Microsoft 365 data. Premium connectors, including Business Central and SQL, need additional licensing. Most genuinely useful business apps end up needing premium.
Do Power Automate flows need their own licence?
Flows run under the licence of their owner. A flow using premium connectors needs that owner appropriately licensed. This is why flows should be owned by a service account in a solution rather than by an individual, which also stops them dying when that person leaves.
Pro, Premium Per User or capacity for Power BI?
It depends on your ratio of report authors to viewers. With mostly viewers, a capacity licence is often cheaper than Pro for everyone. We model your actual numbers rather than recommending a tier generically.
