The assumption that costs companies dearly
Microsoft's shared responsibility model is explicit: they are responsible for the infrastructure, you are responsible for your data. Their replication protects against a datacentre failing. It does not protect against a user deleting a folder, a departing employee wiping their OneDrive, ransomware encrypting a synced library, or a mistake discovered four months later. Retention periods are finite and shorter than most people assume. Once they expire the data is gone, and no support ticket will bring it back. Most companies discover this while trying to recover something that mattered.
What proper backup covers
Exchange Online mailboxes including shared and archive, SharePoint sites with their version history, OneDrive for every user, and Teams including channel conversations, which are frequently forgotten and are increasingly where decisions are actually recorded. Backups run to independent storage under your control, with retention you define rather than inherit. Restores are granular: a single email, one file at yesterday's version, or an entire site, without restoring everything around it. We test restores, because an untested backup is a hope rather than a control.
Retention, legal hold and GDPR
Beyond recovery there are obligations. You may be required to retain certain records for a defined period, to place a legal hold when a dispute is foreseeable, and equally to delete personal data on request without destroying records you must keep. Those requirements pull in opposite directions and need configuring deliberately. We set up retention and hold policies that match your actual obligations, and document them, so the answer to an auditor's question is a policy rather than an assurance.

Does Microsoft not already back up our data?
No, and this is the most common and most expensive misunderstanding in Microsoft 365. Microsoft protects the service's availability. Recovering data you deleted, or that ransomware encrypted, is explicitly your responsibility under their shared responsibility model.
Is the recycle bin not enough?
Only for immediate mistakes. Retention is finite and measured in days to months depending on the item. Anything discovered later, and anything deliberately purged by a departing employee or by ransomware, is beyond its reach.
