The oversharing problem nobody expects
Copilot respects permissions exactly. That sounds reassuring until you realise it means it will faithfully surface anything a user technically has access to, including the salary spreadsheet in a SharePoint site somebody opened up three years ago and forgot. Most tenants have accumulated far broader access than anyone intended. Before Copilot, that was latent: nobody found those files because nobody searched for them. Copilot searches for them on the user's behalf, which is why a permissions review is not optional preparation. It is the first task.
Readiness before licences
We assess whether Copilot will actually have anything useful to work with. It draws on Teams meetings, SharePoint documents, Outlook mail and chat. If your documents live on a network drive, meetings happen on the phone and decisions are made in email chains nobody files, Copilot has very little to reason over and the licences disappoint. So the honest sequence is: fix where content lives, review permissions, then license. Companies that reverse that order buy an expensive per-user subscription and conclude the technology does not work, when what did not work was the preparation.
Adoption decides the return
Copilot is not self-explanatory. Left alone, most people try it twice, get a mediocre answer because they asked vaguely, and stop. The difference between a licence that pays back and one that does not is almost entirely in whether people learned to use it for their actual work. We run role-based sessions on real tasks: summarising a long thread before a meeting, drafting from an existing document, pulling actions out of a call. And we are straightforward about where it is still weak, because overselling it is the fastest way to lose people's trust in it permanently.

Is Microsoft 365 Copilot worth the cost?
It depends almost entirely on how well your company already uses Microsoft 365. Where meetings are in Teams, documents in SharePoint and mail in Outlook, the return is real. Where they are not, you would get more from spending less on adoption of what you already own. We will tell you which case you are in.
Does our data train Microsoft's models?
No. Microsoft 365 Copilot operates within your tenant boundary and your data is not used to train the underlying foundation models. That commitment is contractual. It is a reasonable question and it is usually the first one a board asks.
How should we start?
With a small pilot group across two or three roles, after the permission review. That gives you real evidence about value in your context before committing to licences across the company, which is a considerably better basis than a vendor demonstration.
